BATH, PA [DOEPA COMMUNICATIONS]
The Diocese of Philadelphia and Eastern Pennsylvania is seeking a responsible and organized Administrative Assistant to support the daily operations of the Diocesan Office located at the Chancery in Bath, PA. This position reports directly to His Eminence Archbishop Mark and provides essential secretarial and administrative support for diocesan operations.
The Administrative Assistant helps oversee the workflow of the Chancery, manages diocesan files and correspondence, coordinates diocesan mailings, maintains assessment and census records, and assists in the preparation of reports submitted to the Holy Synod of Bishops. The role also includes regular communication with clergy, parish leaders, and visitors to the Chancery.
This part time position requires 25 to 30 hours per week. Salary will be determined based on experience.
Primary Responsibilities

Prioritizing and processing incoming correspondence

Maintaining diocesan files, parish records, census reports, and compliance documentation

Picking up, sorting, and handling daily mail

Answering telephones and greeting visitors to the Chancery

Recording checks and cash received and organizing assessment spreadsheets

Preparing diocesan wide mailings and distributing official letters and notices

Maintaining updated clergy, parish, and hierarchy contact lists

Coordinating Diocesan Council meeting notifications and distributing minutes

Updating the bishop’s visitation schedule and diocesan calendar

Assisting the Chancellor and Treasurer with secretarial tasks

Supporting preparation of the annual Spring Report to the Holy Synod

Organizing materials for the Annual Diocesan Assembly

General office upkeep as needed, including hosting responsibilities for overnight guests
